Clear consent forms in Arabic and English.

02

Live tracking

03

Legal proof

A timestamp, document fingerprint and completion certificate for every document, aligned with Law 15 of 2004.

Define the approval process before sending

Before requesting signatures, identify the document’s purpose, its content owner and the people authorised to sign. For patient consent, the responsible team should review the explanation and ensure the patient can ask questions; electronic signing records the signature step rather than replacing the discussion needed for an informed decision.

Treat sending as a content checkpoint because WQ3 locks documents once sent. Check patient or counterparty details, attachments, dates and signer roles beforehand. If the content needs changing, follow a clear replacement procedure rather than treating an earlier signature as approval of revised wording.

Match signature strength to the document and signer

Not every healthcare administrative document needs the same signing requirements. WQ3 offers exactly three levels: electronic signature, remote signing and token signing, with different levels available for individual signers in the same document. Your policy can consider the document’s purpose, value and counterparty requirements.

Consider electronic signatures for everyday agreements, and remote or token signing for formal or high-value contracts. Where account-holder identity must be verified, require the eKYC add-on with any level; it is not a fourth signing level. Also distinguish identity from authority: verifying someone’s account does not, by itself, establish their permission to bind a healthcare organisation or supplier.

Keep health information proportionate to the task

Start by deciding which information the document actually needs. An administrative purchasing agreement should not carry unrelated clinical details simply because they appeared in earlier correspondence. Where patient information is necessary, review what belongs in the text and attachments rather than treating a signing form as a substitute for the complete medical record.

WQ3 supports roles, permissions and private signer links, but recipient selection still needs care. Include public verification in your privacy review: signer names, signature levels and timestamps can be checked without an account. Establish sharing rules for the final file, completion certificate and QR code that reflect your organisation’s privacy obligations.

Prepare signed records for later review

Define the filing procedure before signatures are collected. Decide which team will retain the final document and signing evidence, and how these will be associated with the relevant staff, supplier or administrative relationship. WQ3’s record of document actions can support internal review when questions arise about the sequence leading to an agreement.

For later checks, use the document’s public verification page and compare its SHA-256 fingerprint to assess whether the file matches the recorded version. Keep integrity checks separate from substantive review: a matching file does not establish that every clause is appropriate or that the signer had the required authority. Legal effect under Egyptian E-Signature Law No. 15 of 2004 depends on meeting its conditions, not simply using an electronic signature.

Frequently asked questions

Does signing a patient consent form replace explaining the procedure?+

No. Treat signing as one recorded step in consent, not a substitute for clinical explanation, patient questions or checking applicable requirements.

Can a doctor and an organisation representative use different signing levels?+

Yes. WQ3 allows a different level for each signer in the same document, according to document requirements and organisational policy.

Does eKYC prove someone can sign for the organisation?+

No. The eKYC add-on verifies account-holder identity. Authority to represent and bind an organisation should be checked separately.

What should we consider before sharing a verification QR code?+

The public check page exposes signer names, signature levels and timestamps without an account. Review your organisation’s sharing rules before circulating the code.

Does a matching fingerprint validate clinical content?+

No. A fingerprint match supports file-integrity checks; it does not establish clinical accuracy, adequate consent or the legal validity of every clause.
