Sales solutions

Send customer agreements for signature without stalling the deal

Reduce broken handoffs between preparing, approving, and sending an agreement, then give sales a clear status after it reaches the customer.

Where work stalls

Replace scattered follow-up with a clear workflow

Connect each recurring problem to a practical step the team can follow.

Challenge 01

Agreements slow down during internal review.

With WQ3

Route them to a manager or legal before the approved version is sent.

Challenge 02

The team loses visibility after sending.

With WQ3

Follow customer and document status from sending through completed signature.

Challenge 03

Similar agreements are recreated each time.

With WQ3

Start from a template with recurring fields and participant roles.

Documents to organise around the deal

Sales paperwork extends beyond the main contract. Group documents by their role in the deal, then assess the signing requirements for each rather than applying one approach to every file.

01

Quotes and order forms

Include quotes and order forms in your document process. Before sending, check the intended recipients and confirm that the contents are appropriate for everyone receiving them.

02

Sales and service agreements

For sales contracts and service agreements, establish signature-level and signing-authority requirements separately. A document’s title alone does not determine the signing approach it needs.

03

Subscriptions and renewals

Subscription agreements can be sent with one link. Treat renewal documents as a fresh opportunity to confirm the required signers and signing levels.

04

Pre-demo confidentiality agreements

An NDA can be signed from a phone before the demo. Electronic signing works through a secure invitation link on any device.

A practical checklist for each send

1. Define the evidence needed. Decide who must sign, what authority they need and whether identity verification is required. These are separate questions.

2. Check recipients and access. Confirm each invitation goes to the intended person and that the document contains appropriate information for that recipient. WQ3 controls access through roles, permissions and individual invitations.

3. Set each signer’s requirements. Choose the signing level individually; one document can use different levels. Add an eKYC-verified account requirement where identity must be proven.

4. Check the file before sending. Documents are locked once sent, so make recipient selection and content checks part of your pre-send procedure.

5. Prepare the handover. After completion, review the recorded actions and keep the exact final file, completion certificate and verification reference together as an internal filing practice.

Match signing strength to the agreement

WQ3 has exactly three signing levels. Select according to the agreement’s requirements, not just its document category. For formal or high-value transactions, confirm the required signing form with the receiving organisation before sending.

01

Electronic signature

Fits everyday agreements, including quotes, order forms or routine renewals where their requirements allow electronic signature.

02

Remote signing

An option for formal, high-value sales or service contracts, including agreements where an organisation requires a digital certificate.

03

Token signing

Also an option for formal, high-value contracts and digital-certificate requirements. Confirm which signing form the receiving organisation requires.

Follow-up, evidence and contract checks

For reminders and deadlines, define your team’s follow-up schedule and target dates as internal working practices. Use document status to guide follow-up; the supplied feature information does not establish automated reminders or deadline enforcement.

Every completed document includes an audit trail recording actions and a completion certificate. Review who did what and when, alongside each signer’s level. eKYC is an optional account-verification add-on available with any level, not another signing level.

To verify a signed contract, scan the QR code on the final file or completion certificate. The public check page needs no account and shows signer names, signing levels and timestamps. Its SHA-256 comparison checks the file against the stored fingerprint. Investigate mismatches before relying on the copy.

WQ3 is aligned with Egyptian E-Signature Law No. 15 of 2004. Verification supports review; it does not establish signing authority or guarantee acceptance for every purpose.

Frequently asked questions

How should we choose a signing level for a sales agreement?+

WQ3 offers three levels: electronic signature, remote signing, and token signing. Electronic signature suits everyday agreements, while remote or token signing suits formal, high-value contracts or organisations requiring a digital certificate. You can assign a different level to each signer in the same document based on the agreement's requirements.

Can we require customer identity verification for a high-value agreement?+

You can require an eKYC-verified account with any signing level. eKYC is an account-verification add-on, not a separate signing level. A person's authority to sign on behalf of the customer company should still be checked as part of the deal review.

What should we check before sending a quote or order form for signature?+

Confirm the customer's legal name, agreed pricing, scope of supply or service, payment terms, and signer details before sending. WQ3 locks documents once sent, so resolve outstanding commercial points before that step.

What evidence can we keep with the deal record after signing?+

Every completed document includes an audit trail and completion certificate recording the actions taken, who performed them, and when. Keep these with the final agreement to support internal review and help establish what happened if the signing process is later disputed.

How can the customer's procurement team verify the signed agreement is genuine?+

They can open the public verification page using the QR code on the final file or completion certificate, without an account. The page allows the file's SHA-256 fingerprint to be compared with the stored fingerprint to detect changes, and shows signer names, signing levels, and recorded timestamps.
