Build your HR document checklist

Separate recurring employee paperwork by purpose before choosing recipients, signing requirements and the copy your team will retain.

01

Offer letters

Use an electronic signature for an everyday offer, with the candidate able to review and sign from their device.

02

Employment contracts

Choose the signing level to suit the contract’s requirements. Add optional eKYC account verification when the signer’s identity must be proven.

03

Policy acknowledgements

For new-hire policies or repeated acknowledgements, distribute an individual copy to each required employee.

04

Leave requests

Include leave requests in your document checklist and identify the participants who need to act.

05

Employee data changes

Before sending a data-change document, check that its personal information is appropriate for every intended recipient.

06

HR letters

Decide who needs to receive or sign each letter, rather than assuming every HR document needs the same treatment.

A pre-send and handover sequence for HR

1. Check the contents. Review employee details, dates and obligations before sending. WQ3 locks documents once sent, so make content review part of preparation.

2. Check access. Confirm recipients and the information each should receive. Access controls include roles, permissions and individual invitations; careful recipient selection remains your team’s responsibility.

3. Set the requirements. Define signing authority, the level for each signer and any account-verification requirement separately. One document can use different signing levels for different participants.

4. Check the route. Confirm that the approval and signing sequence reflects your internal requirements before invitations go out. Each signer receives a private signing link.

5. Prepare the handover. After completion, review the recorded actions. As a filing practice, keep the final file, completion certificate and verification reference together for whoever reviews the employee record later.

Match the signing level to the document’s requirements

WQ3 has exactly three signing levels. Choose according to the agreement’s requirements, not its title alone; confirm any required signing form with the receiving organisation.

01

Electronic signature

Fits everyday agreements, including routine offer letters. Consider it for other everyday HR documents where your requirements allow.

02

Remote signing

An option for formal or high-value employment contracts, or where the organisation requires a digital certificate.

03

Token signing

Also an option for formal or high-value contracts and digital-certificate requirements. Confirm the required form before selecting between remote and token signing.

04

Optional account verification

eKYC is an account-verification add-on, not a signing level. It can be required with any of the three levels when identity must be proven.

Keep follow-up separate from proof of completion

For reminders and deadlines, establish an internal follow-up schedule and use participant status to identify outstanding actions. Treat this as your team’s procedure, not a claim of automated reminders or deadline enforcement.

For audit, review who acted and when. Every completed document includes an action record and completion certificate; a tamper-evident audit trail is included across all listed plans.

To verify a signed employment contract, scan the QR code on the final file or completion certificate. The public check page requires no account and shows signer names, signing levels and recorded timestamps.

Check the file’s SHA-256 fingerprint against the stored fingerprint. Investigate a mismatch before relying on the copy. A match supports file integrity, but does not establish signing authority or approve the contract’s terms.

Frequently asked questions

How should HR choose a signature level for employee documents?+

WQ3 offers three levels: electronic signature, remote signing and token signing. Use electronic signature for everyday agreements, and consider remote or token signing for formal contracts or when your organisation requires a digital certificate. You can assign a different level to each signer in the same document according to the contract’s requirements.

Is eKYC verification of an employee’s account a separate signing level?+

No. eKYC is an account-verification add-on that checks the account holder’s identity, not a fourth signing level. HR can require an eKYC-verified account with any of the three signing levels when its process requires proof of signer identity.

Does signing an employment contract electronically satisfy every legal requirement?+

Egypt’s E-Signature Law No. 15 of 2004 gives electronic signatures and documents legal validity when its conditions are met, and WQ3 is aligned with that law and its executive regulations. A signature alone does not establish that an employment contract meets every applicable legal requirement; have legal counsel review its terms and any mandatory formalities.

What evidence can HR consult when reviewing a signed contract?+

Every completed document includes an audit trail and completion certificate to help establish who acted and when. A public check page, accessed through the QR code or reference, also lets reviewers confirm authenticity without an account, while a SHA-256 fingerprint comparison reveals changes to the file.

What should HR check before sending an employee document for signature?+

Review employee details, document terms, participants and required signature levels before sending, because documents are locked once sent. Each signer receives a private link showing only what is theirs, so checking that the correct participants are selected is an important step in protecting employee information.
