Legal proof

A timestamp, document fingerprint and completion certificate for every document, aligned with Law 15 of 2004.

Establish who has authority to sign

Before preparing a document for signature, identify whether the appropriate signer is the student, a parent or guardian, or an authorised institutional representative. A student-facing form may require someone else’s approval, depending on age, document purpose and applicable policy; the student’s contact details do not automatically identify the right signer.

WQ3 provides a private link for each signer, but the institution should establish the recipient’s authority to make the requested decision. Require an eKYC-verified account where identity verification is needed, while recognising that verified identity alone does not establish parental responsibility, guardianship or authority to represent an institution.

Match signature strength to the decision

Create a policy for recurring document types rather than applying one signature level everywhere. WQ3 offers exactly three levels: electronic signature, remote signing and token signing; use electronic signatures for everyday agreements and consider remote or token signing for formal or high-value contracts.

Different signers can have different levels within the same document, allowing requirements to reflect each party’s role. Agree the appropriate level with your legal or administrative team before sending; being aligned with Egyptian E-Signature Law No. 15 of 2004 does not mean every educational document automatically satisfies its conditions.

Review the document from each recipient’s perspective

Make privacy review part of document preparation: does the signer need every included field and attachment? Avoid including other students’ details, internal staff notes or unrelated personal information; a signing document should not simply reproduce an entire administrative file.

WQ3’s roles, permissions and private signer links support access control, but they do not replace content review. Check recipients, wording and attachments before sending, because documents are locked once sent; if a correction becomes necessary, review the appropriate next step rather than assuming the issued copy can be edited.

Prepare records for review after signing

Decide what the responsible team should retain when signing is complete, including the final document and its accompanying audit trail and completion certificate. These records serve complementary purposes: the document captures the agreement, while the trail records the actions taken during signing.

If a later reviewer needs to check authenticity, WQ3’s public check page supports verification without an account using a QR code and reference. It compares the file’s SHA-256 fingerprint with the stored fingerprint and shows signer names, signature levels and recorded timestamps; establish how verification details should be shared and how long records should be retained under institutional obligations and policies.

Frequently asked questions

Is eKYC a fourth signature level?+

No. It is an account-verification add-on that can be required alongside any of the three signature levels.

Can different parties use different signature levels?+

Yes. Each signer in the same document can have a different level, according to the institution’s requirements.

Does a student’s signature replace parental consent?+

Not automatically. The required signer depends on the document, the student’s age and applicable rules; establish this before sending.

Does a reviewer need an account to check a completed document?+

No. The public check page enables authenticity checks without an account using the QR code and reference.

Does electronic signing satisfy every legal requirement?+

No. Legal effect depends on applicable conditions being met. Review document requirements, signer authority and any additional formalities.
